As our organization enters a new phase of rapid growth, we are looking for an experienced Chief of Staff to help scale the Foundation, strengthen cross-functional collaboration, and support the successful delivery of our strategic priorities.
About the role
The Chief of Staff serves as a strategic partner to the CEO, ensuring effective coordination across the Foundation and supporting the delivery of key strategic priorities with the leadership team.
The role strengthens the Foundation's management processes by bringing together information from across departments, tracking decisions, identifying risks early, and providing the CEO with the insight needed to support informed decision-making and organizational execution.
Working closely with the CEO, COO and leadership team, the Chief of Staff strengthens organizational alignment, governance and the implementation of key initiatives, helping ensure effective collaboration across the Foundation.
The Chief of Staff reports directly to the CEO and works closely with the COO and the entire leadership team.
Key responsibilities
Strategic execution
Support the CEO and COO in implementing organizational changes and strategic priorities.
Coordinate the delivery of strategic initiatives across multiple teams, tracking progress and identifying potential risks or implementation challenges.
Oversee the delivery of the annual organizational plan and track key organizational performance indicators.
Executive support and governance
Lead the Executive Office, including coordinating Council meetings, preparing governance materials, coordinating leadership meetings and following up on agreed actions and decisions.
Prepare executive briefings, analyses, reports and strategic recommendations for the CEO, Management Board and the Council.
Support the COO with governance processes, organizational planning and decision-making frameworks.
Organizational effectiveness
Strengthen collaboration across the Foundation and promote effective communication between the leadership team and Our Common Home.
Resolve cross-functional challenges and drive the consistent use of RACI across the organization to ensure clear roles, responsibilities and decision-making.
Coordinate the preparation of management reports and ensure the timely delivery of strategic information.
Identify organizational risks and recommend corrective actions to improve organizational effectiveness and execution.
Who We Are Looking For
Experience
At least 7 years of experience in leadership, strategy, organizational development, consulting, executive management or Chief of Staff roles.
Experience working directly with executive leadership, CEOs or Boards.
Proven experience managing large-scale cross-functional processes or projects involving multiple stakeholders.
Experience designing organizational processes and leading organizational change.
Experience preparing executive presentations, reports and decision-making materials.
Experience working in a start-up or other fast-paced, high-growth environment.
Nice to have - Experience in NGOs, international organizations, rapidly growing organizations or other mission-driven environments
Skills
Outstanding organizational and project management skills, with the ability to manage multiple initiatives simultaneously.
Strong analytical skills and the ability to translate complex information into clear recommendations.
Excellent communication and stakeholder management skills.
Ability to build trust and foster collaboration across diverse teams.
Ability to manage interpersonal dynamics and resolve conflict constructively.
High levels of discretion, ownership and accountability.
Fluency in both Polish and English (minimum C1).
Success in the first 12 months
By the end of your first year, you will have:
